Leave of absence

Parental leave/adoption

As a PhD student, you are entitlet to an extension of your enrolment due to parental leave. Please contact your relevant for further information.

The student must notify their main supervisor, the department secretary, the research unit and the Graduate School about their dates for parental leave. The PhD student's enrolment and employment period (if employed 麻豆社区) will be extended to take account of the parental leave.

If you are going on parental leave and are not employed 麻豆社区

The student must notify the Graduate School on phd@health.sdu.dk and the relevant HR partner at SUND. Make sure to also contact the involved employment authority to inform them about the maternity/paternity leave and to obtain further information about the financial situation during parental leave. Please send in the “barselsplan” when you have made this with your employer.

If you are going on parental leave and are employed 麻豆社区, you must do the following:

1. No later than 3 months before the expected birth

You must inform us of your due date, your full name, department, position, and contact information.
You must send this information to:

  • Your manager
  • Your HR partner at SUND
  • SDU HR (Employees), Vivi Madsen at vbm@sdu.dk

2. Immediately after the birth

You must inform us of the time of birth, preferably within the first 14 days, so the leave can be initiated and reported, and SDU can receive reimbursement from Udbetaling Danmark.
You must send this information to:

  • Your manager
  • Your HR partner at SUND
  • Vivi Madsen, SDU HR (Employees) at vbm@sdu.dk

3. No later than 6 weeks after the birth

You must inform us how you wish to allocate your total parental leave. Based on this, a parental leave plan will be prepared and sent to you for approval and signature.
You must send this information to:

  • Your manager
  • Your HR partner at SUND
  • Vivi Madsen, SDU HR (Employees) at vbm@sdu.dk

Other leave of absence

Under special circumstances, you can be granted a leave of absence from the PhD programme, usually for a maximum of 12 months. This may be due to particular events or stages in the PhD project, or for personal reasons.

You can apply by submitting a written application to the Head of the Graduate School, explaining the circumstances and enclosing a statement from your main supervisor.

The decision is based on individual assessment of each case. If granted, the period of enrolments will be extended to include the leave of absence. Please also see "Part-time study".

Illness

If you experience long-term illness (more than 4 consecutive weeks), you can be granted an extension of your PhD period. You can apply by submitting a written application (find it here) to the Head of the Graduate School, explaining the circumstances.

The decision is based on individual assessment of each case. If granted, the period of enrolments will be extended accordingly (including the deadlines for the half-yearly reports).

Please make sure that you have funding that covers an extension of the employment - the reimbursement from the government only covers it partly!

If you want to be employed 麻豆社区 in the extension period, please provide payment information in the application for extension.
